Dynamics 365 Customer Engagement Tip of the Month: Advanced search for missing entity relationships

In Microsoft Dynamics 365, standard views and filters are primarily designed to display records with existing relationships between entities. While this functionality is widely used due to its simplicity and effectiveness in managing related data, it presents a limitation when users need to identify records without a relationship, such as locating Accounts that do not have any associated Opportunities. This type of view is particularly valuable for sales professionals seeking to uncover untapped prospects or gaps in engagement. This tip of the month article highlights the Advanced Search and Filters tool in D365 Customer Engagement (CE) to solve this scenario with set up tips to help you source the data you need faster.

Tip

Use the Advanced Search tool in Dynamics CE to search not only for records with specific related data, but also for those lacking a relationship. By using the “Does Not Have” condition within Advanced Find, users can efficiently identify Accounts without linked Opportunities, streamlining the process and eliminating the need for manual review.

Steps:

  1. Navigate to Accounts from the left-hand menu in Dynamics 365 CE then click on the Edit Filters Icon.

  1. Click Add then Add Related Entity to establish a filter between two Entities.

  1. Select an entity relationship to filter by and filter by the criteria “Does Not Contain Data” then click Apply. In this scenario we are searching for Accounts without related opportunities.

  1. The Account list view will be filtered to show only Accounts that are not part of any Opportunity.

  1. Save this filtered view by clicking on the drop-down arrow next to the list title, then select “Save as new view.”

  1. Add the name and description to personalize it. This view will only be accessible to the user that created it which means it would not be part of the system views by default.

  1. To share this view, select the drop-down arrow next to the list title then “Manage and share views.

  1. Click on the ellipsis next to the view you’d like to share, then select “Share.”

  1. Select all the users and/or teams that you’d want to give access to this view then specify the level of permissions.
