How Spine Team Texas scales without adding finance staff with Sage Intacct

Spine Team Texas is a comprehensive spine and pain care organization operating 11 clinics, four ambulatory surgery centers, and five investment companies. As the organization expanded, its aging Sage 500 environment could no longer efficiently support intercompany activity, shared vendors, and location-level reporting across its multi-entity healthcare structure. Spine Team Texas turned to Rand Group to implement Sage Intacct, creating a faster, more flexible financial foundation for multi-company management, detailed reporting, and continued growth.

See how Spine Team Texas moved from Sage 500 to Sage Intacct with Rand Group to support a growing, multi-location healthcare organization. In this case study video, Spine Team Texas shares why they selected Sage Intacct, how Rand Group helped address its multi-company accounting and reporting requirements, and how the new system improved efficiency, financial visibility, and the finance team’s capacity to support continued growth.

The problem

For a growing multi-location healthcare organization, financial management depends on being able to track performance by clinic, department, surgery center, and related entity. At Spine Team Texas, that meant managing independently operated clinics, jointly owned surgery centers, investment companies, shared vendors, intercompany activity, allocations, budgeting, and daily cash oversight—all while accounting for changes in insurance and Medicare reimbursement.

Spine Team Texas had relied on Sage 500 for approximately a decade, but rapid growth began to expose the system’s limitations. After adding two surgery centers between 2018 and 2019, the lean finance team needed a faster, more flexible way to manage related companies and location-level reporting. Sage 500 required repetitive company-by-company work for vendor maintenance, journal entries, transfers, reconciliations, and reporting, making it difficult for the team to keep pace with continued expansion.

  • Time-consuming intercompany transactions and money movement across related healthcare companies
  • Repetitive vendor maintenance and inefficient allocations and transfers across clinics and surgery centers
  • Limited flexibility to report by clinic, surgery center, physical therapy department, or combined facility group
  • Separate journal entries and entity-by-entity bank reconciliation processes
  • Paper-based invoice processes that limited access to supporting documentation
  • Limited self-service visibility for practice managers responsible for location-level revenue and expenses

Legacy processes limited efficient multi-location growth

Our experience working with Rand Group has always been so positive that I knew they were the right team to guide our move to Sage Intacct. They already understood our company structure, which made the implementation very easy, and they have always been responsive to our needs.

Sage Intacct for healthcare

The solution

Because Rand Group had supported Spine Team Texas for years, the organization knew it had a knowledgeable, responsive partner that already understood its company structure and financial processes. Sage Intacct emerged as the right fit for its growing healthcare operations, with centralized vendor management, multi-company transactions, and flexible location- and department-level reporting. Rand Group used that familiarity to streamline the implementation, handle much of the setup, guide adoption, and customize reports and budgeting tools around the formats physicians and managers already used.

  • Implemented Sage Intacct as Spine Team Texas’ cloud financial management platform
  • Centralized vendor management and configured multi-company journal entries
  • Simplified recurring intercompany entries by enabling prior entries to be duplicated and updated
  • Configured reporting by clinic, surgery center, physical therapy department, investment company, and combined facility group
  • Customized balance sheets, income statements, budget reports, and budgeting tools
  • Enabled four-year surgery center budget imports
  • Enabled invoice attachments, transaction editing, drill-down, Excel and PDF exports, and paperless workflows
  • Provided ongoing support through direct access to knowledgeable Rand Group consultants and same-day responses

Sage Intacct gives us the flexibility to report by company, location, or department. It is easy enough for non-accountants to drill into invoices and understand what they are responsible for, which makes our managers more accountable and better able to impact the bottom line.

The result

Sage Intacct gave Spine Team Texas’ finance team the capacity to support continued growth without adding staff. Since implementation, the organization has added at least four clinics and one surgery center while maintaining the same finance team. Multi-company journal entries, reusable recurring entries, and editable transactions reduced repetitive work, while a centralized process for reconciling six checking accounts saves approximately one hour each day.

The system also improved reporting and visibility across clinics, departments, surgery centers, and investment companies. Spine Team Texas can combine all four surgery centers into one income statement while retaining facility-level detail, give practice managers direct access to expenses and invoices, import four-year surgery center budgets, and export information for CPAs and auditors without creating separate schedules.
