Import transactions from Excel to Sage Intacct

Sage Intacct’s seamless integration with Microsoft Excel allows users to easily import both master data and transaction records—such as journal entries—directly from familiar spreadsheets, streamlining ERP processes and reducing manual data entry. With ready-made templates, built-in guidance, and the ability to leverage Excel’s powerful features, users can ensure data accuracy and efficiency in managing financial operations.

One of the most valuable features of Sage Intacct is its seamless integration with Microsoft Excel—a tool already familiar to most users. With this capability, all your master data, such as your chart of accounts, dimension elements, vendors, customers, and projects, can be imported directly from Excel into Sage Intacct. Even better, end users can also import transaction data, making the process efficient and user-friendly.

Since Excel is a powerful and widely used business tool, Sage Intacct’s integration with it is designed to enhance your ERP experience, streamline processes, and boost productivity at every touchpoint. This approach aligns with Sage Intacct’s commitment to providing a user-friendly ERP solution that simplifies data management and improves operational efficiency.

How to import transactions from Excel to Sage Intacct

To begin importing data from Excel, navigate to the “Company” screen in Sage Intacct.

Make sure the SETUP task menu is visible. If you don’t see it, select “Open Setup” at the bottom of the window, then choose “Company Setup Checklist.”

Using templates for importing

If you’re unsure about the specific file requirements for your data, Sage Intacct offers templates within the “Company Setup Checklist.” Downloading the relevant template will give you an Excel file formatted for your data import needs.

The templates come with pre-defined column headers that are mapped to the corresponding tables in Sage Intacct. Do not edit the column headers. However, if a column is not required and not flagged as such, you can remove it to simplify your import file.

The templates also include guidance on which data to enter in each column and whether it is required, helping your team create accurate import files.

For example, if you want to import General Ledger Journal Entries, you would use the provided template. Below are examples of a blank template and a completed journal entry transaction ready for import:

With Excel, you can use formulas, link to other worksheets, and even flag rows that should not be imported by marking them with a pound sign (#). This ensures the system skips non-importable data, reducing errors and manual intervention. For instance, you can ensure your journal entries are balanced using Excel formulas before importing.

Sage Intacct also allows you to use these templates for bulk updates. For example, if you need to update customer records with a new sales representative, simply export the customer list to Excel, update the sales rep field, and then re-import. This saves time and ensures data accuracy. If you’re planning a mass update, there are a few best practices to follow—contact Rand Group for expert guidance.

Leverage existing Excel data for efficient ERP processes

Most businesses already rely on spreadsheets for key processes, such as creating journal entries or AP invoices. Sage Intacct’s Excel integration allows you to take advantage of your existing files and skills, minimizing data entry time and maximizing the time spent analyzing data and planning for growth. By leveraging familiar tools, your team can focus on strategic tasks rather than repetitive data entry.
