The challenge

Conquest was using QuickBooks to track their financial data and everything else for their operations was tracked either in Excel spreadsheets or paper documents. This disconnected approach led to many inefficiencies.

  • It took 3-4 weeks for an invoice to be created after work was completed due to the challenges of completing paperwork out in the field, sending it back to the office, and entering data into QuickBooks.
  • Financial reporting was cumbersome, and took up to 3 months to complete which made it impossible to make real-time course corrections
  • The PO approval process took on average 2 weeks, which sometimes led to critical materials being unavailable when needed
  • Inventory was not tracked which made it impossible to know how much was being spent per unit per month
  • It took 2 months to calculate true cost in manufacturing which made it challenging to make pricing decisions

The solution

Conquest knew they needed to implement a full-featured enterprise resource planning (ERP) system that would help them overcome their challenges, but they were not sure which system would be the best fit. They were evaluating SAP, Oracle, and Microsoft with another implementation partner, but they felt the partner did not understand their industry or have a deep enough knowledge of the products. A Conquest employee had worked with Rand Group before with another company and recommended Rand Group.

Rand Group successfully helped Conquest navigate the ERP selection process and Conquest ultimately chose Dynamics 365 Finance & Operations as their ERP system and Dynamics 365 Field Service to handle their service operations. Conquest had an aggressive implementation timeline as they were anxious to reap the benefits of the new system and Rand Group completed the implementation of both systems on-time and on-budget.

The result

​Conquest Completion Services is now an industry leader in having an integrated, efficient financial and operational system. Everything is now one touchpoint and automatically in the system, which has increased efficiency dramatically as well as provided much greater visibility to data in real-time.

With the new efficiencies gained by the new system, Conquest was able to reduce their A/R and A/P staff of 7 down to a staff of 2.5. They also improved key accounting metrics significantly – days sales outstanding (DSO) has decreased from 15-20 days down to 3 days and the purchase order approval process has reduced from 10 days down to 3 days.

With the power of financial dimensions in Dynamics 365 Finance & Operations and fully integrated Power BI reports and dashboards, instead of waiting months for financial reports, Conquest is able to see complete financials in almost real time so that they can make informed and timely business decisions. They also now have a tight inventory management process and can accurately report on the cost of parts and consumables for each unit as well as an improved manufacturing process that tracks raw materials usage and provides real-time cost structure.
