Whether you are recording accruals, depreciation, allocations, or other recurring adjustments, repeatedly entering the same accounts can take valuable time and create opportunities for data entry errors.

Dynamics GP includes a built-in Quick Journal Entry feature that can simplify this process. By setting up templates for frequently used account structures, users can quickly create journal entries without rebuilding the same distributions each period. Instead of entering the same accounts and distribution information from scratch, users can select a predefined Quick Journal and enter the appropriate debit or credit amounts for the current period.

Quick Journal Entries can be especially useful for:

  • Monthly accruals
  • Depreciation entries
  • Rent allocations
  • Insurance expense allocations
  • Recurring payroll adjustments
  • Other journal entries that regularly use the same group of accounts

Because the account structure is predefined while the amounts can change, Quick Journal Entries are particularly helpful for recurring processes where distributions remain consistent but values vary from period to period.

Tip steps: How to create and use Quick Journal Entries in Dynamics GP

Getting started requires two parts: first, create the Quick Journal template with the accounts and settings you want to reuse; then select that template whenever you need to create the journal entry.

Create a Quick Journal Entry template

Navigate to:

Financial > Setup > Quick Journal

Then:

  1. Enter a Journal Entry ID and Description that clearly identify the entry.
  2. Select the appropriate Source Document value.
  3. Enter the appropriate Reference for the journal entry.
  4. Select the Offset Account.
  5. If users should be able to change the offset account when creating an entry, select Allow Override.
  6. Click Save.

Your Quick Journal template is now available to use for future entries.

Use a Quick Journal Entry

When you are ready to create an entry from your saved template, navigate to:

Financial > Transactions > Quick Journal

Then:

  1. Select the appropriate Journal ID you previously created.
  2. Enter the required debit or credit amounts for the accounts listed.
  3. Leave the amount blank for any account that is not needed for that particular entry.
  4. Click Save to save the entry or Post to post it.

Quick Journal Entries preserve the account structure, but the dollar amounts do not have to remain the same each time. This makes the feature useful for entries where the same accounts are used every month but the amounts fluctuate.
