Dynamics GP Tip of the Month: Speed up account entry with Account Aliases

By on September 29, 2026

Entering transactions in Dynamics GP can take extra time when users need to remember or search for lengthy General Ledger account numbers. For organizations with complex or highly segmented charts of accounts, finding the right account can add unnecessary steps to journal entries and other routine transactions.

Dynamics GP Account Aliases provide a simple way to make account selection faster. By assigning an easy-to-remember code or name to a General Ledger account, users can select the correct account without memorizing the entire account number. This month’s tip walks through how to set up and use Account Aliases to streamline everyday data entry.

Tip summary: Simplify account selection with Account Aliases

An Account Alias is a shortcut assigned to a General Ledger account in Dynamics GP. Instead of remembering or looking up the complete account number, users can enter a meaningful alias and Dynamics GP will populate the associated G/L account.

For example, aliases could include:

Account number
Account description
Alias
000-6100-00
Office Supplies Expense
OFFICE
000-6400-00
Telephone Expense
PHONE
000-7200-00
Travel Expense
TRAVEL
000-1010-00
Cash Operating Account
CASH

000-7200-00
000-1010-00

Using consistent, recognizable aliases can help users enter transactions faster, reduce the risk of selecting the wrong account, and make the chart of accounts easier to navigate. They can be particularly helpful for new users who may not yet be familiar with your organization’s account structure.

Tip steps: How to set up and use Account Aliases in Dynamics GP

Getting started with Account Aliases requires assigning an alias to the appropriate G/L account. Once configured, users can enter the alias when selecting accounts throughout Dynamics GP.

Set up an Account Alias

Navigate to:

Cards > Financial > Account

Then:

  1. Open the existing General Ledger account to which you want to assign an alias.
  2. Locate the Alias field.
  3. Enter a short, meaningful alias that users will easily recognize.
  4. Click Save.

Once saved, the alias can be used to select that General Ledger account from applicable windows throughout Dynamics GP.

Use an Account Alias

When working in a window where you can select a G/L account:

  1. Locate the G/L account field and click the expansion button (blue arrow).
  2. Enter the appropriate alias.
  3. Tab out of the field.
  4. Dynamics GP will populate the G/L account associated with that alias.

You can then continue entering the transaction as usual.

Tip insights: Use a consistent naming convention

Account Aliases can be especially valuable for organizations with long account numbers or highly segmented charts of accounts. Consider establishing a consistent naming convention so aliases are intuitive and easy for users to remember.

For example, rather than creating arbitrary abbreviations, use recognizable terms such as OFFICE, PHONE, or TRAVEL. A consistent approach can make account selection easier across the accounting team while helping users choose the appropriate accounts for recurring transactions.
