NetSuite Tip of the Month: Avoid locked records with Allow Non-G/L Changes

By on November 20, 2025

In most organizations, once an accounting period is closed in NetSuite, users often hit a brick wall when trying to make even minor updates. Perhaps a memo needs correcting, a classification field needs tweaking, or a custom field requires editing but due to out of the box functionality users can’t make these simple changes. These “locked-period” restrictions are essential for financial control, but they can also become a source of frustration when non-financial changes are legitimately needed. Fortunately, NetSuite offers a smart control for this exact scenario. This tip of the month blog will walk you through how to avoid locked records by enabling the Allow Non-G/L Changes feature on accounting periods, so you maintain control yet keep your data flexible.

Tip: Avoid locked records with “Allow Non-G/L Changes”

When an accounting period is closed in NetSuite, the default behavior is that no further posting or edits are permitted for that period. However, there are many legitimate cases where you need to update non-financial fields (for example correcting a memo, updating a custom field, or adjusting a classification) that don’t impact the general ledger (G/L). By enabling the Allow Non-G/L Changes checkbox on the period, and ensuring users/roles have the proper permission, you can allow these non-GL changes while still preserving the integrity of your closed period.

Key benefits include:

  • Maintaining functional integrity of your system (no ad-hoc unlocking).
  • Enabling minor corrections without the risk of unintended GL impact.
  • Avoiding workarounds such as reopening periods or creating “fake” entries.

Steps

  1. Navigate to Setup > Accounting > Manage Accounting Periods
  2. Click on the period you wish to update.
  3. Check “Allow Non-G/L Changes” and save.
