NetSuite Tip of the Month: Fixing older or locked reconciliations
Reconciling bank accounts in NetSuite is a critical control for maintaining accurate financials, but what happens when you discover an issue in an older or already completed reconciliation? If the reconciliation isn’t the most recent one, making corrections can feel especially daunting.
The good news is that NetSuite provides a practical workaround. By leveraging the deprecated Reconcile Bank Statement feature, you can correct historical or locked reconciliations without undoing or recreating completed records. This tip will guide you through safely handling these situations while keeping your accounting data intact.
Tip: How to correct old or locked reconciliations
When an older or completed bank reconciliation needs correction, you don’t have to remove and redo the entire reconciliation process. Instead, you can temporarily disable the Match Bank Data functionality for the affected bank account and use NetSuite’s legacy reconciliation page to make targeted adjustments. Once complete, the reconciliation updates automatically saving time and reducing risk.
Steps to fix older or locked reconciliations in NetSuite
Follow these steps to correct historical reconciliation issues efficiently:
- Disable Match Bank Data for the account
Navigate to the Bank Account record and temporarily disable the option: “Use Match Bank Data and Reconcile Account Statement Pages.” This allows access to the older reconciliation functionality.
- Access the Legacy Reconciliation Page
- Use the deprecated Reconcile Bank Statement page to locate the historical reconciliation that needs correction.
- Add or remove transactions
- Review the reconciliation details and include missing transactions or remove transactions that were incorrectly reconciled.
- Make the necessary adjustments to reflect the correct activity.
- Save the reconciliation
- Re-enable Match Bank Data
*Note: The Reconcile Bank Statement page has been marked depreciated as of 2024 but is still accessible.
Bonus tip: Use Automated Cash App to improve reconciliations
NetSuite’s Automated Cash Application feature can significantly streamline your reconciliation process. This built-in tool automatically creates batches of customer payments and applies them to open invoices, reducing manual matching and improving accuracy.
If your team hasn’t explored this feature yet, enabling Automated Cash Application can help:
- Reduce reconciliation errors.
- Clean up accounts receivable faster.
- Make month-end close more efficient.
Why this tip matters
Fixing older reconciliations incorrectly, or not at all, can lead to inaccurate financial reporting, audit challenges, and wasted time during close. Knowing how to safely adjust historical reconciliations allows your accounting team to stay compliant while avoiding unnecessary rework.
