Dynamics 365 Business Central Tip of the Month: Customize the user experience by role
One of the biggest advantages of Microsoft Dynamics 365 Business Central is its ability to deliver a role-based user experience. Not every user needs access to the same data, fields, or actions, and a cluttered interface can slow users down and lead to confusion.
By customizing the user interface based on roles, organizations can simplify navigation, highlight what matters most, and create a more efficient and intuitive experience for every user. In this month’s Business Central Tip of the Month, we’ll explore how to customize Role Centers, pages, and personal views to better align Business Central with your team’s workflows.
Tip summary: Tailor your user interface to match user roles
Business Central offers multiple layers of customization that allow you to tailor the system to different users:
- Role Centers serve as each user’s homepage, displaying relevant data, cues, and navigation based on their role.
- Profiles (Roles) define which Role Center and pages users see.
- Page customizations allow administrators to adjust layouts for groups of users.
- Personalization enables individual users to tailor their own workspace.
Together, these layers create a flexible, role-based experience that helps users focus on what’s most important to their job.
Steps: How to customize the user experience in Business Central
Step 1: Assign or create a Role (Profile)
- Use the Search (magnifying glass) and navigate to Profiles (Roles).
- Review existing Roles or create a new one.
- Assign the appropriate Role Center to the profile.
- From the profile, access User Personalization List to assign users to the role.
This ensures users start with a homepage designed for their specific responsibilities.
Step 2: Customize pages for a Role
- From the Profiles (Roles) page, select a profile.
- Choose Customize Pages (or open a page and use Customize).
- Move, hide, or add fields, columns, and actions.
- Save the customization.
These changes apply to all users assigned to that role, helping standardize the experience across teams.
Step 3: Use Designer for deeper changes (Optional)
For more advanced customization:
- Open a page and select Settings > Designer.
- Modify the layout by adding, moving, or hiding elements.
- Publish changes.
This option is often used by administrators or consultants to make broader UI improvements.
Step 4: Enable Personalization for individual users
Users can further refine their own workspace by:
- Hiding or rearranging fields
- Adjusting columns in list views
- Saving personalized layouts
These changes only affect the individual user and take precedence over role-level customizations.
