Dynamics 365 Business Central Tip of the Month: Stay organized with User Tasks

By on January 22, 2026

Staying on top of daily responsibilities, approvals, and follow-ups can be challenging, especially when tasks live outside your ERP system in emails, spreadsheets, or third-party tools. Microsoft Dynamics 365 Business Central includes a built-in User Tasks feature designed to help teams stay organized, accountable, and productive without leaving the system they already use every day.

In this tip of the month blog, we’ll take a closer look at User Tasks, how they work, and how your organization can use them to streamline workflows and improve collaboration.

Tip summary: User Tasks in D365 Business Central

User Tasks in Microsoft Dynamics 365 Business Central allow users to create, assign, manage, and track tasks directly within the ERP system. Tasks can be linked to records, assigned to specific users, given due dates, and monitored for completion in one centralized location.

This feature helps:

  • Keep work organized within Business Central
  • Improve accountability across teams
  • Reduce reliance on external task-tracking tools
  • Ensure important follow-ups and approvals aren’t missed

By embedding task management into everyday business processes, User Tasks support productivity and collaboration across departments.

How to use User Tasks in Business Central

Step 1: Access the User Tasks page

  1. Use the Search (magnifying glass) in Business Central.
  2. Type User Tasks and select the page from the results.

This page displays all tasks assigned to you, along with their status, priority, and due dates.

Step 2: Create a New User Task

  1. From the User Tasks page, select New.
  2. Enter a Title and Description for the task.
  3. Assign the task to yourself or another user.
  4. Set a Due Date and optional Priority.
  5. Save the task.

Tasks can also be created directly from many Business Central records, such as customers, vendors, or documents, allowing you to tie tasks to specific business activities.

Step 3: Manage and track tasks

  • Update task Status as work progresses (Open, In Progress, Completed).
  • Use filters to view tasks by due date, status, or assigned user.
  • Add notes or comments to provide context or updates.

Because tasks live inside Business Central, users can quickly reference related records and take action without switching systems.

Step 4: Stay on track with reminders
User Tasks integrate with role centers and cues, helping users stay aware of upcoming or overdue tasks. This visibility encourages timely follow-ups and keeps work moving forward.

*Only certain role centers will show User Tasks and cues. Depending on your role centers, users may have to manually monitor the User Task page or be notified outside of Business Central regarding assigned and pending tasks.
