Tip of the Month
Dynamics 365 Business Central Tip of the Month: Preserve line-level detail in G/L entries
When reviewing general ledger activity, having the right level of transaction detail can make a significant difference. By default, multiple document lines posted to the same G/L account with the same dimensions may be summarized, making it necessary to return to the source document to see the individual line details.
Business Central’s copy line description to G/L Entry setting provides a simple way to preserve more of that detail. Despite its name, the setting does more than copy descriptions. For applicable G/L Account lines, it can also create separate G/L entries instead of combining the lines, giving finance teams greater visibility into the transactions behind an account balance.
Tip summary: Copy line descriptions and preserve G/L detail
The copy line descr. to G/L entry setting is available in both Sales & Receivables Setup and Purchases & Payables Setup.
When enabled, Business Central carries the description from applicable document lines of type G/L Account to the resulting general ledger entries. It also allows those lines to post as separate G/L entries rather than being summarized when they share the same G/L account and dimensions.
For example, suppose a purchase invoice contains three expense lines posted to the same G/L account and dimension combination. Without this setting, those lines may be combined into a summarized G/L entry. With copying enabled, the individual G/L Account lines and their descriptions can remain visible in the resulting G/L entries.
This can be particularly useful for organizations that want more transaction detail readily available when reviewing expenses, researching account activity, or reconciling the general ledger.
Tip steps: How to copy purchase line descriptions to G/L entries
Step 1: Open Purchases & Payables Setup
- Select Search in Business Central.
- Enter Purchases & Payables Setup.
- Select the related page.
Step 2: Enable Copy Line Descr. to G/L Entry
On the Purchases & Payables Setup page, locate the Copy Line Descr. to G/L Entry setting and turn it on.
Once enabled, descriptions from applicable purchase document lines of type G/L Account will be carried into the resulting G/L entries when the document is posted.
Step 3: Enter meaningful line descriptions
When creating a purchase document, enter clear descriptions on the G/L Account lines.
Because these descriptions will flow through to the general ledger, meaningful line descriptions can make it easier for finance teams to understand the purpose of individual transactions without repeatedly navigating back to the source document.
Step 4: Post the document and review the G/L entries
Complete and post the purchase document as usual. Then review the resulting G/L Entries.
For applicable G/L Account lines, you should see the individual descriptions carried into the Description field. Lines that otherwise could have been summarized can also remain separate, providing greater line-level visibility in the general ledger.
Apply the same setting to sales documents
The same capability is available for sales documents.
- Open Sales & Receivables Setup.
- Locate Copy Line Descr. to G/L Entry.
- Turn on the setting.
Business Central will then carry descriptions from applicable sales document lines of type G/L Account into the resulting G/L entries.
Why this tip matters
The Copy Line Descr. to G/L Entry setting can give finance teams greater visibility into the transactions behind their general ledger balances. Preserving meaningful descriptions and line-level detail can make account reviews, reconciliations, and transaction research more efficient without requiring a customization.
