Steps:
- Set up bank accounts for electronic reconciliation
Start by ensuring your bank accounts in Dynamics GP are configured for Electronic Bank Reconciliation. This includes defining the checkbook, assigning the appropriate file formats, and setting up matching criteria such as document numbers, amounts, and dates. - Obtain bank statement files
Request electronic bank statement files from your financial institution. Most banks provide files in common formats such as BAI, CSV, or other supported layouts that can be imported directly into Dynamics GP. After receiving the required file layout details from your bank, navigate to the configurator window and create a configuration that aligns with your bank’s statement file format. This includes defining the header, detail, and footer records as needed.
- Import the bank statement into GP
Using the Electronic Bank Reconciliation window, import the bank statement file into Dynamics GP. Once imported, GP displays the statement transactions alongside your system transactions for comparison. - Automatically match transactions
Dynamics GP automatically matches bank statement transactions to GP transactions based on your predefined matching rules. Matched transactions are marked as cleared, while unmatched items are flagged for review. - Review and resolve exceptions
Review any unmatched or partially matched transactions. You can manually match items, create adjusting entries, or investigate discrepancies directly within GP.
- Complete the reconciliation
Once all transactions are reviewed and resolved, finalize the bank reconciliation. This ensures your cash balances in Dynamics GP accurately reflect your bank records.
