Dynamics GP Tip of the Month: Boost productivity with function key shortcuts

By on April 28, 2026

In Dynamics GP, even small efficiency gains can make a big impact, especially for users who spend their day navigating between the same windows, reports, and SmartLists. While many users rely on menus or navigation panes, there’s a faster way to access frequently used tools.

Function key shortcuts (F2–F12) allow you to open commonly used windows instantly, no matter where you are in the system. This built-in feature is often overlooked, but once configured, it can significantly reduce clicks and improve daily productivity. This month’s tip walks through how to set up and use function key shortcuts in Dynamics GP.

Tip summary: Use function keys to quickly access common tasks

Dynamics GP allows users to assign function keys (F2–F12) to shortcuts, enabling instant access to frequently used windows, reports, SmartLists, and more.

Instead of navigating through menus each time, users can simply press a function key to open what they need, saving time and creating a more streamlined workflow. Best of all, this functionality is built directly into Dynamics GP and requires no additional tools or customization.

Steps: How to assign function key shortcuts in Dynamics GP

Step 1: Add the item to your shortcuts

Before assigning a function key, the item must be added to your Navigation Pane shortcuts.

For GP windows:

  1. Open the window you want to access (for example, Sales Transaction Entry).
  2. Select File > Add to Shortcuts.

You can also add SmartLists, reports, or other items you frequently use.

  2. Click OK to save your selection.

Tip: Include the function key in the shortcut name (for example, F5 – Sales Transaction Entry) to make it easier for users to remember.

Function key assignment

Using your function key shortcut

Once assigned, simply press the function key from anywhere within Dynamics GP to open the associated window or item.

  • You can use it from any module (Sales, Purchasing, Financial, etc.)
  • You do not need to return to the Home page
  • The selected window or report opens immediately

This makes it especially useful for high-frequency tasks performed throughout the day.

Why this tip matters

Function key shortcuts are a simple but powerful way to improve efficiency in Dynamics GP. By reducing the need to navigate through menus and screens, users can complete tasks faster and maintain focus on their work. For teams that regularly access the same windows or reports, these shortcuts can save significant time over the course of a day, week, or month.
