In organizations still using classic administration screens, these settings may appear under:

Settings > Data Management

Enable duplicate detection for:

  • Record creation
  • Record updates
  • Data imports
  • Offline synchronization (where supported in your environment)

These settings determine when Dynamics 365 checks for duplicate records.

2. Create a Duplicate Detection Rule

Navigate to:

Settings > Data Management > Duplicate Detection Rules

Select New, then choose the record type you want to monitor, such as:

  • Leads
  • Contacts
  • Accounts

Define the fields that should be compared. Common examples include:

  • Email Address
  • Company Name
  • First and Last Name
  • Phone Number

You can combine multiple fields to create more accurate matching criteria.

3. Publish the rule

  • Navigate to Duplicate Detection Jobs
  • Create a new job

5. Use Duplicate Detection during imports

Duplicate Detection can also be applied when importing records into Dynamics 365.
