How M&H Enterprises migrated from Dynamics GP to the cloud without business disruption
M&H Enterprises is an engineering and consulting firm serving the oil and gas industry, with services spanning sustainability consulting, enterprise asset management, engineering, risk management, and technical writing. As Dynamics GP approached end of lifecycle, M&H needed to move away from an on-premises ERP environment that relied on aging infrastructure, disconnected systems, and manual processes. The company turned to Rand Group to migrate from Dynamics GP to Microsoft Dynamics 365 Business Central in the cloud, preserving business continuity while supporting project-based financial operations.
Client: M&H Enterprises

The Goal
Replace M&H’s aging, on-premises Dynamics GP environment with a modern cloud ERP platform that could support financial management, project accounting, time entry, invoicing, reporting, and real-time project visibility.

The Outcome
M&H migrated from Dynamics GP to Dynamics 365 Business Central with Rand Group’s support, going live without business disruption and gaining a stable cloud platform for financials, project accounting, invoicing, and future reporting improvements.

Hear directly from the M&H Enterprises team about its move from Dynamics GP to Dynamics 365 Business Central with Rand Group. In this case study video, M&H shares why it needed to replace its aging on-premises ERP environment, how Rand Group supported its project-based financial and operational requirements, and how the team completed the migration without disrupting day-to-day operations or billing.
The problem
M&H Enterprises had been running Microsoft Dynamics GP since 2010. For years, the system supported the company’s accounting operations, but as Dynamics GP approached end of life, the limitations of M&H’s on-premises environment became harder to ignore. The system ran on a physical server, required ongoing backup and maintenance, and created business continuity concerns if the accounting environment went offline.
The challenge also extended beyond finance. Dynamics GP touched project costs, time entry, reporting, and invoicing, while project teams still relied on spreadsheets, downloads, and manual work to access the information they needed. M&H was also using multiple supporting tools, including Excel, Greenshades, Microsoft Project, and third-party bolt-ons, creating a fragmented environment that was increasingly difficult to maintain and scale.
Primary challenges included:
- Dynamics GP was approaching end of life, creating urgency to move to a modern ERP platform
- The system was hosted on-premises, creating risk around server availability, backups, maintenance, and downtime
- Third-party project bolt-ons created stability concerns, with updates that could break or remove functionality
- Project teams relied on spreadsheets, downloads, and manual work instead of real-time system visibility
- Time entry, project accounting, invoicing, and reporting depended on systems that needed to remain consistently available
- Disconnected tools across GP, Excel, Greenshades, and Microsoft Project made processes harder to manage

Aging on-premises systems limited stability and visibility
Migrating from a system like Dynamics GP can be a huge disaster if it does not go well. The timing, the mapping, and getting the numbers right all matter, and there is a lot of trust involved. Once the Rand Group team came together, I was much more relieved.
The solution
Rand Group helped M&H migrate from Dynamics GP to Dynamics 365 Business Central. The implementation began with discovery, requirements gathering, and functional design to understand how M&H’s project-based business actually worked, including its needs around financial management, project accounting, time entry, invoicing, expense management, and reporting. Rather than taking a generic approach, Rand Group guided M&H through a focused migration that prioritized business continuity, kept the project organized, and tailored the system where it added clear value.
Specific solution components included:
- Migrated M&H from on-premises Dynamics GP to Dynamics 365 Business Central in the cloud
- Replaced legacy ERP infrastructure with a modern, cloud-based platform for core financial and project operations
- Configured core financial functionality, including general ledger, financial reporting, cash management, sales and receivables, and purchases and payables
- Implemented the Dynamics 365 Business Central Project Module to support M&H’s project-based business model
- Added Continia Expense Management to streamline employee expense handling
- Built a tailored invoicing process that pulls expense reports, receipts, and supporting documentation into client-ready invoice packages
- Supported Power BI reporting for financial and project dashboards
- Provided post-go-live support to help users adopt the system, resolve issues, and continue improving processes
Some partners seemed like they did not understand who we were as a company, but Rand Group took the time to understand our services and how we work. That made us feel much more comfortable moving forward.
The result
M&H went live on Dynamics 365 Business Central without disrupting day-to-day business operations. This was especially important because M&H had experienced a difficult system transition in the past that delayed invoicing for two months. With Rand Group’s support, the Business Central go-live did not slow the business down. Billing continued, users stayed productive, and the team had the next month’s invoices out by the tenth.
After go-live, M&H began realizing the practical benefits of moving to a cloud-based ERP platform. Employees can now enter time from anywhere, including from their phones. The accounting team has stronger controls and better guardrails around financial processes. Manual work around invoice backup has been reduced through automation. M&H also continues to work with Rand Group on reporting, project dashboards, and ongoing improvements as the team expands use of the system.
Results achieved:
- Migrated from on-premises Dynamics GP to cloud-based Dynamics 365 Business Central without business disruption
- Kept billing moving after go-live, with invoices out by the tenth the following month
- Avoided the kind of invoicing delay M&H had experienced during a previous ERP transition
- Enabled cloud-based time entry, including mobile access for employees
- Reduced manual effort in the invoice backup and attachment process
- Supported 100 to 200 invoices per month with a more efficient invoice assembly process
- Introduced stronger accounting controls and cleaner processes
- Established a modern ERP foundation for financials, project accounting, reporting, and future optimization
- Continued post-go-live support with responsive issue resolution and functional guidance
“Rand Group as a whole made us feel like we always knew who to call if there was an issue, and they always took it seriously. We were very happy overall.” – Susanna Stewart, Director of Finance & Administration, M&H Enterprises
