How to view and filter all purchase lines in Business Central

Many organizations use Microsoft Dynamics 365 Business Central to manage their entire business from finance, sales, project management, services, and more. However, many users struggle to view important line level details of their purchase documents. There is no way to view all purchase lines from all purchase documents in a consolidated list. For example, to view all lines on Posted Purchase Credit Memos, a user would have to navigate to each individual posted purchase credit memo and navigate to the lines section.

Access new list pages in Business Central to view all purchase lines

The Document Lines Lists application integrates seamlessly with Business Central and adds multiple new pages to consolidate purchase line item details. These new pages automatically pull purchase line data from your existing records, allowing users to view the line level details from various purchase documents in aggregate. This eliminates the need for users to navigate to individual purchase documents. For example, you can view all lines on all purchase orders on a new page called Purchase Order Lines. On this new page, you can filter to quickly find the information you need to make business decisions, such as all items that are expected to be received in the next week.

With the Document Lines Lists for Business Central, you will get the following new pages for your purchase lines:

How to view line level details for purchase lines

The Document Lines List application adds several purchase documents list pages to your Business Central environment. All of these new pages can be found using Business Central’s search feature. For example, you can find the new Purchase Order Lines list page by following the steps below:

  1. In Business Central search for and select Purchase Order Lines
  2. Business Central will redirect you to the new Purchase Order Lines page

This new page will display each line on all purchase orders, eliminating the need for users to navigate to each individual purchase order. The steps above can be used for all new purchase document pages.

Personalize and export your purchase lines list pages

Once you have access to your new purchase lines list pages, you can personalize the page to display the information most important to your business. Users can easily add or remove fields to the page to display relevant information. For example, you can easily add fields to your Purchase Order Lines page such as Unit Cost ($) or Department Code. To personalize your purchase document pages, follow the steps below:

  1. Select Settings >> Personalize
  2. Select + Field
  3. Place fields by dragging from the list to a position on the page

Now that you have personalized your purchase document lines pages to display the information most relevant to your business, you can export the page to Excel for reporting purposes or to share across your organization. To export your list page, select Share >> Open in Excel.
